A genuine report can still be the wrong report

A COA describes an identified submitted sample. Even if the document is authentic, it may belong to a different strength, lot or delivery. Traceability is the documented connection between the vial in hand and that report.

Match three records

Cap color is supporting evidence, not a unique identifier. Different lots may share a color, and photographs or labels can be copied.

Why the laboratory number may be different

The laboratory may assign its own identifier when it receives a sample. That number need not match the printed lot, but the batch record must document their relationship. For example, a hypothetical receipt lot EXAMPLE-01 could map to laboratory sample SAMPLE-123. Without that bridge, similarity is not enough.

This product-record connection is different from measurement traceability, which concerns a measurement’s calibration connection to a reference. NIST: measurement traceability.

Restocks need their own record

Morris Peppy tests each newly received batch before release, including restocks from the same manufacturer production lot. An earlier delivery’s report is not automatically substituted for a later receipt. This keeps the release decision connected to the stock being supplied.

When a detail does not match

• Keep the vial sealed and retain the packaging.
• Save the full report rather than only its purity screenshot.
• Record the order number, vial lot and laboratory identifier.
• Photograph the label and cap.
• Send the discrepancy through the Telegram chat and ask for the documented connection.
